How bookings reach you
Do you send each request to me first, so I can check the date before the group books?
Yes, if you choose "Check with me first" for that service. We email you each request and show it in your dashboard. You accept it, decline it or suggest another time. The group is not charged until you have said yes.
The other choice is instant booking, where groups can book any date your calendar shows as free. You pick one or the other for each service, and you can change it later.
How long do I have to answer a request?
You choose when you set up: 2, 4, 12 or 24 hours. We send a reminder halfway through. No answer in time counts as a no, and we offer the booking to another supplier who covers that house.
What details do you send me with a request?
The activity, the date and start time, the town and the first half of the postcode, the number of guests, what you will receive for it (including travel, if you charge it) and our reference.
As soon as the group has paid, we send you the full address and the organiser's name and phone number.
What happens after I say yes?
The date is held for the group for up to 48 hours while they pay. Once they have paid we email you "It's booked" with the address and the organiser's details. If they do not pay in that time, the hold is released and we tell you, so you are free to take other work that day.
How does instant booking work?
Groups book and pay for any date your calendar shows as free, without waiting for an answer, and we email you straight away. It only works if your calendar is kept up to date.
We still ask you first when the date is less than 48 hours away, or when a connected calendar has stopped updating.
How do you know which dates I can do?
You tell us the days you work, your earliest start and latest finish, how many bookings you can take in a day and how much notice you need (from 1 day to 28 days).
For the dates you cannot do, either connect your own calendar with its private iCal link (Google, Outlook, Apple or a booking system), which we re-read every three hours, or block the dates yourself in your dashboard.
How much notice will I get?
At least the notice you set for yourself. Whatever you set, the website never offers a group today or tomorrow.
What if I can no longer do a booking I accepted?
Tell us straight away so we can find the group someone else. Repeated cancellations move your services to "Check with me first" and can end the listing.
Can I still take my own bookings?
Yes. Listing with us does not stop you taking your own work. Block those dates in your dashboard, or connect your calendar, so we never offer a group a date you have already filled.
Talking to the group
Who does the customer speak to about the details of the experience?
Before they book, they speak to us, and we come to you with anything we cannot answer from your listing.
Once the booking is paid for, you have the organiser's name and phone number, so you can agree the details with them directly: choices, timings, anything you need at the house.
When do I get the full address?
When the booking is paid for. Until then you see the town and the first half of the postcode, which is enough to judge the journey.
What if a group we introduced wants to book me again?
If a customer we introduced rebooks you within 12 months, that booking counts as coming through us and the same commission applies. If someone contacts you directly and you are not sure where they came from, ask us.
Money
How much do you take?
15% of what the customer pays for your services, extras and travel. You set the customer price and we add nothing on top.
For example, at £45 per person a group of 12 pays £540. We keep £81 and you receive £459. The sign-up form shows the same sum for your own price as you type it.
Is there a fee to list?
No. There is no listing fee and no monthly fee. We only earn when a group books you.
How and when am I paid?
By bank transfer by the end of the working day after the experience, minus our commission. We email you when it is sent, and it usually arrives within a working day. Your dashboard keeps a statement of every booking that you can download.
When does the customer pay?
The customer pays us, never you. They pay a 20% deposit when they book and the balance 42 days before the event. A group booking closer to the date than that pays in full at the time. You never chase anyone for money.
What do you need from me before you can pay me?
Your bank details, added in your dashboard once you are approved. A change of bank details only takes effect when you confirm it from your email.
An invoice for each booking, uploaded in your dashboard and addressed to Butlers With Bums Limited trading as Group Escape Houses.
The seller details HMRC requires platforms to collect. For a sole trader that is your date of birth, National Insurance number and home address.
Can I set a minimum group size or a minimum charge?
Yes. Each service has its own smallest and largest group, and you can set a minimum charge so a small group still covers your costs.
I am VAT registered. Which price do I enter?
Enter the full price the customer pays, including VAT if you charge it. The form asks whether you are VAT registered and for your VAT number.
Can I change my prices later?
Yes, from your dashboard. Changes are checked by us before they go live, usually within a working day.
Cancellations and changes
What happens if the group cancels?
You choose one of three sets of terms when you set up. They decide what you are paid if a group cancels.
Flexible. Cancelled 7 or more days before: nothing owed. Inside 7 days: you're paid in full.
Moderate. 14 or more days before: nothing owed. 7–13 days: you're paid half. Inside 7 days: in full.
Strict. 30 or more days before: nothing owed. 14–29 days: you're paid half. Inside 14 days: in full.
Customers book on our own terms, which are stricter than all three: the deposit is never refunded, and nothing is refunded inside 42 days. So whatever your terms entitle you to is money we already hold.
What if the number of guests changes?
The group tells us, not you. We check the new number with you before we confirm it to them. Your smallest and largest group size and your minimum charge still apply.
Am I tied in?
No. Either side can end the listing with 30 days' notice by email. Bookings already confirmed are honoured.
Travel and where you work
Are travel costs added on top for houses further away?
You choose. Either travel is built into your price, or you set a rate per mile, with a free distance first if you want one.
We work out the miles from your base postcode to the house and add the charge to the group's quote as its own line, so you never have to quote it yourself. Our commission applies to travel as it does to everything else, and the form shows what you receive per mile.
How do I tell you where I work?
Pick one of three: anywhere in the UK, whole regions, or a distance from your base postcode (from 10 to 200 miles). If you cover the whole UK you can still rule out Northern Ireland, the Scottish Highlands and islands, or the other islands.
If you work from more than one base, add up to 4 more, each with its own distance.
Groups come to my venue rather than me going to them. Can I still list?
Yes. For each service you say whether you go to the group's house, the group comes to your venue, or either.
Getting listed
What do I need to apply?
To start, two minutes: your name, what you offer, the price of each service and your base postcode. You confirm your email and go straight to your own listing page.
To finish, in your own time: a description of each service, where and when you work, your business details, at least 5 photos and your public liability insurance certificate. It saves as you go.
How long does approval take?
We review a listing within two working days of you pressing Submit. If something is missing we email you exactly what, with a link straight back to your listing.
What photos do you need?
Between 5 and 12 photos, each at least 1000 by 750 pixels, with at least one of every service you list. Landscape or portrait are both accepted; landscape shows best. They must be your own, in focus, and free of text, logos and watermarks.
What insurance do I need?
Valid public liability insurance for as long as your listing is live. You upload the certificate and its expiry date, and we remind you 30 days and 7 days before it runs out.
Food and drink suppliers also give their food hygiene rating or Level 2 certificate and, if alcohol is included in the price, the licence they sell it under. Beauty and wellness suppliers give the qualification each therapist holds.
Can I list more than one service?
Yes, up to 10. Each has its own price, description and group size, and up to 5 optional extras. They share your coverage, travel and availability settings.
My activity is not on your list. Can I still apply?
Yes. Choose "Something else" on the form and describe it. If we do not have a page for that kind of activity yet, we build one before your listing goes live.
Do you list adult-only activities?
Yes. Mark the service as 18 and over. Adult-only services get an extra check from us before they go live.
Your dashboard
What can I do in my dashboard?
Answer booking requests, see your bookings, block dates or connect your calendar, add your bank details, upload invoices, download your statement, renew your insurance and change your listing and prices.
When do I get my login?
When your listing is approved. We email you a link to set your own password, and from then on you sign in from the Supplier Login link at the foot of every page.
A link in one of your emails has stopped working. What do I do?
Open it anyway. If the link has been used or replaced, we email a fresh one to the same address straight away. If your listing is already approved, sign in to your dashboard instead.
